Complete a task

A task records your action on one step of a request. Review the current request and its documents before deciding.

Find the task

  1. Open the app with the account the task was sent to.
  2. In the workspace picker, select Personal for tasks sent to your email address. Personal is the workspace for your own requests and tasks sent directly to you. For employee or team assignments, select the organization instead.
  3. Open Tasks and select the task waiting for your action.
  4. Read the title, requester, description, step instructions, and current files.

For a team assignment, Assigned to shows the individual employee receiving the task with an employee icon. In the Workflow tab, expand a step heading to review its original assignees and settings. Task cards stay visible below the heading. Expand a team-created task to see Assigned via, which identifies the team.

The Tasks and Requests lists use the same columns and widths: #, Title, Revision, Status, Requested by, and Created. On smaller screens, secondary details appear below the title. Open a task to see From organization when an organization is recorded.

Use the Tasks breadcrumb above the task title to return to the list.

Email-addressed tasks from an organization arrive in Personal. They do not give you access to that organization's workspace. Organization delegates can also act on authorized tasks; see Delegations.

Provide the required information

Below the task summary, use Your response to choose your decision and provide attachments, a comment, and a signature when needed.

Use the action offered for your task. The workflow may require a comment, response attachment, electronic signature, or a combination of these. Fill in all required fields before submitting. A negative decision requires a comment explaining the outcome.

For a signature, check your Legal name, enter Representation details when relevant, and provide your signature. A saved profile signature can prefill the drawing; review it for this decision.

Use Chat to clarify the request before recording your action. Files attached to a discussion and files attached to a decision serve different purposes; see Files and attachments.

Submit the decision

Choose the action that matches your decision, including a negative outcome when the task offers one. Check the decision and any confirmation before submitting. Wait for success feedback.

Your recorded action becomes part of the request history. Depending on its completion rule, the step may wait for other assignees or move on immediately. An unsuccessful decision can fail the workflow.

Return later

Leaving the task page discards an unsubmitted response without asking for confirmation. Complete the task to record your decision.

Reopen the task to review the recorded action and context. Tasks can become unavailable for completion when canceled, skipped, superseded by a revision, or completed by another eligible participant. Refresh the task before retrying an action after an error.

The status chip in the task card's header shows its current state or recorded action, such as Pending, Signed, or Rejected.
